Terms of service

These terms apply to everything Viper Collective does for you: the intro call, the Landing, Family and Concierge packages, the Circle membership and the bundles. We have kept them short and in plain English. Where Dutch law gives you more rights than these terms, Dutch law wins.

1. Who we are

2. What we do, and what we don’t

We are a personal assistance service. We arrange, book, compare, explain, accompany and follow up. We know how the Netherlands works and we do the legwork so you do not have to.

We are not lawyers, tax advisers, immigration consultants, financial advisers or estate agents. When we explain a letter from the Belastingdienst, compare health insurers or tell you what a 30% ruling is, that is practical guidance, not professional advice. For anything that needs a licensed professional, we tell you so and, if you like, introduce you to one from our network. You decide whether to hire them; their work is their responsibility, not ours.

We do not hold, receive or move your money. We can set up direct debits and payment arrangements with you, but payments run from your own accounts.

3. How an engagement starts

An engagement starts when you confirm a package or bundle in our intake flow, accept a written quote from us, or when your employer confirms an employer package on your behalf. The intro call is free and creates no obligation on either side.

We start work on the date agreed with you, or as soon as the prerequisites are in place (for most Landing tasks, that is your BSN).

4. The packages

Landing

A one-off fee. Covers the items listed on the Plans page that you have not already arranged and your employer is not handling. WhatsApp support runs for 30 days from your agreed start date.

Family

A one-off fee, payable in full or in six monthly instalments. We work until the tasks are done, for a maximum of 12 months from the start date. Fair use: we pursue up to two schools or daycare locations at the same time. Family includes three months of Circle.

Circle and Concierge

Monthly memberships, billed in advance, cancellable at the end of any monthly period with one week’s notice. Concierge includes Circle. The month you cancel is not refunded.

Bundles

A combination of the above at a bundle price. The rules of each component apply.

Prices on the Plans page include VAT for private clients. Employer packages are quoted excluding VAT. We may change subscription prices with one month’s written notice; you can cancel before the new price takes effect.

5. Things we can’t promise

We work hard on waiting lists, appointments and applications, but some outcomes are decided by others: a school or daycare accepting your child, the gemeente’s appointment availability, the Belastingdienst granting a 30% ruling or a toeslag, the IND issuing a permit, an insurer accepting a request. We do not guarantee those outcomes and our fee is for the work, not the result.

Waiting times of Dutch institutions are what they are. We tell you honestly what to expect and we chase, but we cannot make a waiting list shorter than it is.

6. What we need from you

  • Accurate and complete information, and prompt answers when we ask.
  • Documents when a task needs them, through the secure channel we agree.
  • Where an institution requires it, a written authorisation (machtiging) so we can act for you.
  • Being there when your presence is legally required, for example at the gemeente for BSN registration or at a school visit.
  • Paying third-party costs yourself: school fees, insurance premiums, pool or club fees, government charges, tickets and reservations. We never pay these for you.

If we cannot progress because information or documents are missing for more than 30 days, we may pause the engagement. The 12-month limit on Family keeps running.

7. Payment

Landing is paid in full before we start. Family is paid in full before we start or, if you choose instalments, the first instalment before we start and the rest monthly. Memberships are billed monthly in advance. Employer packages are invoiced to the company with a 14-day payment term.

If a payment is late we send a reminder. If it remains unpaid 14 days after that reminder we may pause work, and Dutch statutory interest and collection costs may apply.

8. Cancellation and the right of withdrawal

Your legal cooling-off period

If you are a consumer and you buy a package online, you have 14 days to withdraw without giving a reason. Most clients want us to start straight away, and by confirming a start date within those 14 days you ask us to do so. If you then withdraw, you pay for the work done up to that moment, calculated proportionally. Once a one-off package has been fully delivered, the right of withdrawal no longer applies.

Cancelling a one-off package after that

You can stop at any time. We refund the part of the fee that relates to tasks we have not started, minus the cost of work already done.

Memberships

Cancel by email or WhatsApp at any time; the membership ends at the end of the current monthly period.

Cancellation by us

We may end an engagement if payment stays overdue, if you ask us to do something unlawful, or if the relationship has broken down. In that case we refund fees for work not yet done.

9. Liability

We take our work seriously and we take responsibility for our own mistakes. If we cause you loss through negligence, our liability is limited to the fee you paid for the package or, for memberships, the last three months of fees. We are not liable for indirect loss such as missed income, missed school places or fines caused by information you gave us late or incorrectly, or for the actions of institutions, authorities or third parties we introduce you to. This limitation does not apply to intent or gross negligence, or where the law does not allow it.

10. Confidentiality and privacy

Everything you tell us stays between you and the people working on your file. How we handle your and your family’s personal data is described in our Privacy policy. By using our services you accept that we share information with schools, insurers, authorities and other parties only as far as needed to do the task you asked for.

11. Employer packages

When your employer buys a package for you, the company is our client for payment and invoicing, and you are the person we serve. We do not report to your employer on your family’s personal matters beyond confirming that the package is delivered. The consumer right of withdrawal in section 8 does not apply to companies.

12. Complaints

If something went wrong, tell us, first by WhatsApp or email to the person handling your file, and if that does not resolve it, to vipercollective.ams@gmail.com. We respond within five working days and aim to resolve every complaint within a month.

13. Law and disputes

Dutch law applies. Disputes go to the competent court in Amsterdam. If you are a consumer, you may instead choose the court that is competent under Dutch law for your place of residence.

14. Changes

We may update these terms. The date at the top shows the current version. Changes apply to new engagements; for running memberships we give one month’s notice and you can cancel before the change takes effect.
