Viper Collective — last updated 10 September 2026
We help families settle in the Netherlands. To do that, we need to know quite a lot about you. This page explains what we collect, why, who we share it with and what your rights are. We wrote it to be read, not just to exist.

Viper Collective is the data controller for the personal data described on this page.
When you book an intro call
Your name, email address and the time you chose. Our booking runs through Google Calendar and the call takes place on Google Meet. We use this to hold the call and send you the plan we promised.
When you fill in the intake form
Your name, email, WhatsApp number, nationality, preferred language, employer and job start date, arrival date, housing situation and postcode, household composition (partner’s first name, number and ages of children, pets), and which arrangements are already handled by you or your employer. We use this to prepare your package, quote the right price and start work on day one. Legal basis: taking steps at your request before entering into a contract.
When you are a client
Everything above, plus what we need to actually do the work: copies of passports and residence permits, your BSN, employment contract details, rental contract, insurance choices, school and daycare applications, and the letters from the Belastingdienst, IND, gemeente or other authorities that you send us to explain. We only ask for a document when a specific task requires it. Legal basis: performance of our contract with you.
We never ask for passport numbers, BSN, bank details or documents through the website. When we need them, we send you a secure upload link or agree another safe channel with you.
Children’s data
Because we arrange schools, daycare, swimming lessons and health insurance for your children, we process their names, dates of birth and school or care details. We do this only on your instruction as their parent or guardian, and only for the tasks you ask us to do.
Health and other sensitive data
Choosing the right health insurance sometimes means you tell us about a medical need (physiotherapy, dental care, a chronic condition). We use that information only to compare insurers for you, we store it no longer than the task requires, and we process it on the basis of your explicit consent, which you can withdraw at any time. We do not need, and do not ask for, information about your religion, sexual orientation or political views. If it comes up in conversation, we do not record it.
When you use Circle or Concierge
The WhatsApp messages you send us, and the bookings, appointments and letters we handle on your behalf. Legal basis: performance of our contract.
When you are an employer
The contact details of your HR contact and the names of the employees you ask us to help. Legal basis: performance of our contract with your company.
When you visit the website
Our website is hosted on Lovable. The hosting provider processes technical data such as your IP address and browser type to deliver the site. We do not use advertising cookies or tracking pixels. If we add analytics, we will update this page and ask for your consent where the law requires it.
Newsletter
Only if you tick the box. You can unsubscribe with one click in every email.
We do not sell your data and we do not receive commissions from schools, insurers or estate agents. We share data only where a task requires it:
Some of these providers, notably Google and Meta, process data in the United States. They do so under the EU–US Data Privacy Framework or the European Commission’s standard contractual clauses.
Documents are stored in our Google Workspace with two-factor authentication and restricted access. We do not keep client documents on personal devices or in email inboxes longer than needed. Sensitive documents are exchanged through secure links, not through the website form.
Under the GDPR (AVG in Dutch) you can ask us to:
Email vipercollective.ams@gmail.com and we will respond within one month. If you are not satisfied with how we handle your data, you have the right to complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, at autoriteitpersoonsgegevens.nl.
We will update this page when our services or providers change. The date at the top tells you when. For significant changes we will let current clients know directly.
